Product
One process for everyone involved in a ticket.
VerwaltKlar is built around roles: the office, the owner, the tenant and the trade business each see exactly the part of the process that concerns them. Underneath it is always the same ticket, presented differently.
For the property manager
The portfolio in one place, not across twelve spreadsheets.
The admin interface is the day-to-day workspace: what's open, what's urgent, what's waiting on a decision.
- 01
Dashboard overview
Open, urgent and in-progress tickets across the whole portfolio, with the age and status of each case.
- 02
Lease lifecycle
Upload a lease, the data is extracted, and the tenant is invited automatically and onboards themselves.
- 03
Ticket oversight
Every case with its category, photos, history, assigned trade business and availability windows.
- 04
Cost liability with the clause attached
The AI compares every report against the lease's liability clauses and surfaces the applicable clause on the case. Who pays is decided in the office — the display is information, not legal advice.
- 05
Keep open cases visible
A case's status and age stay visible in the overview. Binding response windows and escalation rules are agreed for each pilot workflow and are not presented as current automation.
- 06
Lease review cycle
Leases come back for review on a schedule, and every change is recorded as an immutable prior state.
- 07
Surface data gaps
Available details are brought together so missing master data or case information can be identified during review.
- 08
Owner-facing reporting
Shareable reporting based on case history remains a planned extension and is not presented as part of the current core.
For the tenant
No app, no portal, no password.
Tenants report in a messenger. The guided dialogue confirms the category and issue description and collects available supporting details without promising completeness.
- 01
Report in a chat
A guided Telegram conversation—multilingual and without a separate VerwaltKlar tenant app.
- 02
In their own language
Tenants write the way they speak. The report is translated automatically so the office and the trade read it in theirs.
- 03
Photos straight from the chat
Images are attached to the ticket and are available to the office and, after case-scoped release, to the trade business.
- 04
Give availability
The tenant can state windows when someone is home, providing a better basis for appointment coordination.
- 05
Track status
Follow-up questions and status changes arrive in the same chat thread.
- 06
Rate the work
A short rating on completion — the basis for the quality of future provider matching.
- 07
Transparent from the start
The chat's welcome message explains that the details are shared with the property manager.
For trade businesses
Case-specific details for the selected trade business.
A selected business receives the case details intended for that step: the issue, location and—where available—photos and time windows.
- 01
Trusted trades first
The property manager brings their own trade businesses, and those are suggested first.
- 02
The network as a backup
If nobody on the in-house roster fits or responds, the platform network comes into play.
- 03
Location-aware matching
Suggestions account for where a business works and which trades it covers — weighted by proximity, rating and completed cases.
- 04
Access without an account
The business receives a secure, time-limited link to the case. Accepting or declining works without signing up.
- 05
Details only after accepting
Before acceptance: trade, rough area and available planning details only. The address and contacts are released afterwards.
- 06
A suggestion, not a dispatch
In this phase a human always coordinates. VerwaltKlar never commissions work automatically.
AI-assisted preparation
How free language becomes a reviewable case.
The current workflow supports structuring and quality checks. It does not assign urgency automatically; the property manager reviews and prioritises the case.
- 01
Detect the category
A category is prepared from the report text—for example plumbing, heating, electrical or pests. Photos remain case evidence.
- 02
Check description quality
The guided dialogue can ask bounded follow-up questions. Available details remain reviewable until the summary.
- 03
Make unclear details visible
The preparation supports review, but guarantees neither completeness nor professional correctness.
- 04
Prioritisation by the property manager
Urgency, safety relevance and next steps remain review points for responsible people. No fixed automatic escalation is claimed.
Human review remains the hard boundary.
- The current intake does not assign urgency automatically
- Safety relevance remains a human review point
- Case data and recommendations can be reviewed or edited
Messenger intake
One flow, in the channels tenants already use.
Telegram is currently verified. WhatsApp is planned for pilot launch and will receive technical sign-off before use.

WhatsApp · planned for pilot launch
This view shows the intended guided workflow. The channel becomes available only after technical sign-off before pilot launch.

Intake through Telegram
In Telegram, the category and issue description are confirmed and available photos, time windows and access details are brought together on the case.
